These terms and conditions govern the contract between you and us to the exclusion
of all other terms and conditions save for those implied by law, and no variation to
these terms and conditions shall be valid unless in writing and signed by you and the
company director.
“We/us” Means “Travel Buddies UK”
“The Trip” Means any holiday, accommodation, activity or function organised or
advertised by us.
“You” Means the person who has RSVP’D to the trip and any additional guests that you
have added.
“Supplier” Means the company or person that is holding or providing the holiday/trip
or any part of it.
“Price” Means the total cost of the event.
1) Formation of Contract
No contract shall arise between you and us until we have received the deposit payable.
2) Booking details
Please ensure that all names are given as per the relevant passport. Any changes to
these details will incur the amendment fees as levied by the airline or supplier.
If you are signing up for another member as your plus one you are acting as the “lead
passenger” and are therefore also responsible for their information being correct.
3) Cancellation by us
If in the unlikely event that a trip has to be changed by us due to airline/ supplier
failure we will wherever possible use an alternative supplier and will inform you of the
change. In the extreme circumstances that an alternative cannot be found we will
refund all payments made.
Some of our group trips require minimum numbers and if these are not achieved we
have the right to cancel the trip and refund your deposit and other monies paid. We
reserve the right to cancel your place on the trip if final balance payments are not
received by the due date and monies paid to date will not be refunded according to
the cancellation policy below.
4) Cancellation by Yourself
If you need to cancel your booking please email us

Deposits for all trips are non refundable and non transferable except for in extreme
circumstances.
If you need to cancel your trip prior to 42 days before the departure date but have
made a payment in addition to the non refundable deposit please contact us.
Cancellation charges are as follows.
No refund will be given from 42 days up to departure date.
5) Travel Insurance
You must have adequate travel insurance, this is mandatory when signing up to a
“Travel Buddies” trip. You are advised to take this out as soon as you pay your deposit
and must ensure that you are covered for all the activities detailed in the itinerary.
Please be aware that many activities need an upgraded insurance and that “Travel
Buddies” accepts no responsibility for arranging this.
Your insurance policy also needs to cover you for any additional activities that you
choose to take part in independently from the itinerary even if other members of the
group and the Tour Leader/Guide are participating.
Please ensure you have read your policy and take it on holiday with you.
6) Passports, Visas and Health
Please visit https://www.gov.uk/foreign-travel-advice for general information about
passport and visa requirements.
Your specific passport and visa requirements, and other immigration requirements, are
your responsibility and you should confirm these with the relevant embassies and/or
consulates. Neither we, nor our suppliers, accept any responsibility if you cannot travel
because you have not complied accordingly..
Most countries now require passports to be valid for at least 6 months after your
return date.
You are responsible for ensuring that you have had the correct immunisations and
sought medical advice prior to travel. You can do this by booking an appointment with
a healthcare professional in good time prior to travel.
Please note that personal care cannot be provided by any other group member or the
Tour Leader.
It is your responsibility to discuss with us prior to booking any special requirements,
limited mobility or medical conditions either physical or mental that might affect your
ability to take part on our trips. A reasonable level of fitness is required for our holidays
as some walking will be involved.
7) Flights ,In flight meals, baggage allowance and charges
Any flights that you book independently from the package are not covered by Travel
Buddies Uk Limited.
flight that is not included in the cost of the trip “Travel Buddies” accepts no
responsibility for your booking.
Where flights are included in your booking you will need to provide, when asked for any
special requests that you wish to be considered and any dietary requirements so that
these can be provided to the airline well in advance of the booking. We will try our best
to ensure that these requests are met.
When booking a trip which includes domestic flights the luggage allowance for each
separate flight is stated on the “What’s Included” section of the tour itinerary.
8) Accommodation and Itinerary
Occasionally we will need to change the advertised accommodation/ Itinerary. If this
happens we will let you know as soon as we can and Travel Buddies will provide
alternative accommodation/tour of an equal or higher standard at no extra cost.
9) Trip accuracy
We endeavour to ensure that the details of all trips, including prices, displayed are
accurate. However, given the high volume of trips offered it is inevitable that, in
exceptional cases, mistakes will arise. We cannot accept liability for these errors.
10) Room Sharing
By sharing a room you are stating that you do not consider yourself to have any
specific needs or annoying habits that will cause distress or annoyance to your
room-mate. These include snoring or irregular sleep patterns, keeping unsociable
hours, antisocial behaviour, or personal hygiene issues.
At no time is smoking or vaping acceptable.
In case of issue and you are unable to reach a compromise please bring the matter to
the tour leaders attention.
If it is apparent after investigation that one or more of the above applies and this is
affecting the quality of your room-mates experience we will endeavour to find you an
additional room at the same hotel/a nearby hotel at your own expense.
Please be aware that the cost of this may be substantially higher than the single
supplement.
11) Inappropriate Behaviour
Your Behaviour and Acceptance of Reasonable Risks.
By travelling with us you acknowledge that you have considered any potential risks to
health and safety.
You assume responsibility for all risk and release Travel Buddies UK Limited from all
claims and causes of action arising from any losses, damages, injuries or death.
There may be an increased degree of risk participating in physical activities, travel to
remote locations, carriage by watercraft, or other high-risk activities, or travel to
countries with developing infrastructure.
You agree that we are not responsible for providing information or guidance with
respect to local customs, weather conditions, physical challenges or laws in effect in
any locations where a tour, product or service is operated.
You must at all times strictly comply with all applicable laws and regulations of all
countries and regions. Should you fail to comply with the above or commit any illegal
act when on tour or, if in the opinion of Travel Buddies UK Limited (acting reasonably),
your behaviour is causing or is likely to cause danger, distress or material annoyance
to others, we may terminate your travel arrangements or any product or service
immediately at your expense and without any liability on our part.
You will not be entitled to any refund for unused or missed services or costs incurred
as a result of termination of our travel arrangements, including, without limitation,
return travel, accommodations, meals, and incidentals. You are responsible for any
costs (including repair, replacement and cleaning fees) incurred by us or our suppliers
for property damage, destruction or theft caused by you while on a tour.
You agree to immediately report any pre-existing damage to the trip host or staff of
the accommodation, transportation service, or facility as soon as possible upon
discovery.
You agree to take all prudent measures in relation to your own safety while on tour
including, but not limited to, the proper use of safety devices where available (including
seatbelts, harnesses, floatation devices and helmets) and obeying all posted signs and
oral or written warnings regarding health and safety.
Neither we nor our third party suppliers are liable for loss or damages caused by your
failure to comply with safety instructions or warnings.
12) Personal Injury
If you suffer injury, illness or death directly as a result of the services provided as part
of your holiday we may make a payment to you. We will not make any payment if your
injury, illness or death was caused by an event or circumstances which the person who
caused it could have predicted or avoided even if they had taken all necessary and
due care.
If we do make a payment, it will be similar to one you would receive under English law in
an English court.
You must inform us and the supplier involved about any injury or illness immediately
and complete any paperwork necessary.
You should also write to us at the address below about your claim within 28 days from
the return date of your holiday to allow us to investigate it properly.
We ask you to transfer your rights to us so that we can claim back from suppliers any
payments we make to you, plus any legal or other costs. We will not make a profit from
this.
13) Single supplement
We will wherever possible arrange for room sharing of the same sex where requested.
However, if there are uneven numbers after we endeavour to fill the space. you will be
asked to pay 50% of the single supplement.
14) Force majeure
In these terms and conditions ‘force majeure’ means any event or circumstances which
we or the supplier of the services in question could not foresee or avoid even with all
due care events and circumstances which may include, whether actual or threatened,
war, insurrection, riots, strikes, civil action, decisions by governments or governing
authority, technical or maintenance problems with transport, changes of schedules or
operational decisions of air carriers, terrorist activity, industrial action, natural or
nuclear activity, epidemics/pandemics, adverse weather conditions, fire and all similar
events outside our control.
Travel Buddies UK Limited cannot accept liability or pay any compensation where the
performance of our contractual obligations is prevented or affected, or you otherwise
suffer any loss or damage as a result of circumstances amounting to ‘force majeure’.
15) Complaints
Should you have any complaints about any aspect of your holiday arrangements, you
must inform the tour leader immediately and the supplier of the arrangements
concerned.
Problems can most easily be dealt with on the spot. Please note, if you do not report a
problem or complaint which, if it had been reported at the time it occurred, could have
been resolved there and then we cannot accept any liability.
In the unlikely event that an acceptable solution cannot be found, you should email us
within 28 days of your return with full details of your complaint. If you fail to follow this
complaints procedure, your right to claim the compensation you may otherwise have
been entitled to may be affected or even lost as a result.
16) Jurisdiction
This agreement shall be construed in accordance with the laws of England and Wales
and the courts of England and Wales shall have exclusive jurisdiction to deal with any
disputes arising between you and Travel Buddies UK Limited and/or our suppliers.
17) Changes to these Terms and Conditions
We may need to make changes to these terms and conditions. Any changes can only
be made by us and not any third party member. We reserve the right to amend or
improve these terms and conditions without prior notification.
18) Data Protection
We reserve the right to hold on file information pertaining to your booking, including,
(but not limited to) contact details and passport information. This information will only
be used in conjunction with your booking and will not be passed to any other third
parties.
19) Marketing And Images
You acknowledge and agree that, while participating in any tour, images, photos or
videos may be taken by other participants, us or our representatives that may contain
or feature you. You consent to any such pictures being taken and grant a perpetual,
royalty-free worldwide, irrevocable license to us, our contractors, sub-contractors and
assigns, to reproduce the Visual Content for any purpose whatsoever (including
marketing, promotions and the creation of promotional materials by or with
sub-licensees), in any medium whatsoever, whether currently known or hereinafter
devised, without any further obligation or compensation payable to you.
20) Consumer Financial Protection
Travel Buddies UK Limited is a company committed to customer satisfaction and
consumer financial protection In accordance with ”The Package Travel, Package Tours Regulations” your money is fully
protected and paid into an independent Trust Account, managed by Protected Trust
Services Ltd of 307-315 Holdenhurst Rd, Boscombe, Bournemouth BH8 8BX and its
Trustees, chartered accountants – Elman Wall Ltd of 8th Floor, Becket House, 36 Old
Jewry, London EC2R 8DD.
